WHIZBIZCO LIMITED, trading as Pitwhiz ("Pitwhiz", "we", "us", "our"), is a company registered in England and Wales under company number 15952338. Our registered office is at 15a Port Road, Dawlish, EX7 0NY, United Kingdom.
We operate the Pitwhiz platform, a motorsport data and performance management service available at pitwhiz.com.
This policy covers our website, our web app and our iOS and Android apps, which together we call "the platform".

We collect the following categories of personal data:
Some of this data may be about people other than you, such as drivers, emergency contacts, guardians and team members. If you give us details about other people, you should make sure they are happy for you to do so.
We use your data for the purposes below. UK data protection law requires a legal basis for each one, which is shown in brackets:
Where the data is about someone other than the account holder, such as a driver, emergency contact or guardian, we rely on our legitimate interest, and the account holder's, in managing their motorsport activity through Pitwhiz.
Pitwhiz includes an AI assistant called Max, powered by the OpenAI API. OpenAI acts as a data processor on our behalf and processes data in accordance with its data processing agreement.
When you send Max a message, the following is sent to OpenAI for processing:
OpenAI does not use this data to train its models. It may keep the data for up to 30 days to monitor for abuse, after which it is deleted unless the law requires OpenAI to keep it for longer.
We do not use your data to train AI models.
We share data only with the following service providers, which process it on our behalf to help us run Pitwhiz:
These providers are bound by contract to protect your data to the same standard as we set out in this policy.
We do not sell your personal data, and we do not share it for advertising.
We may also disclose personal data where the law requires us to.

Where your data is transferred outside the UK, we rely on safeguards recognised under UK data protection law: either UK adequacy regulations, which cover the European Union and US organisations certified under the UK–US data bridge, or the UK Addendum to the EU standard contractual clauses.
We retain your account data for as long as your account is active. If you close your account, we will delete your personal data within 90 days, unless we are required to retain it for legal or financial compliance purposes.
Analytics data about your individual activity is retained by Google Analytics for 14 months; aggregated statistics are retained indefinitely. Diagnostic data is retained by Sentry for 30 days. Data sent to OpenAI when you use Max is retained by OpenAI for up to 30 days, as described in section 4.

You can delete your account at any time in the app or on the web. You can also ask us to delete your account, or some of your data while keeping your account, using our deletion request form or by emailing support@pitwhiz.com.
You can object to our use of analytics at any time. Section 10 explains how.
To exercise any of these rights, contact support@pitwhiz.com. We will respond within 30 days.
Pitwhiz is not intended for anyone under the age of 13. By creating an account, you confirm that you are 13 years of age or older. If we become aware that a user is under 13, we will delete their account and associated data without delay.
This age limit applies to people who hold an account. Account holders can record details of younger drivers, including drivers under 13. If you add details about anyone under 18, you must be their parent or guardian, or have their parent or guardian's permission.
We use essential cookies to operate the platform. On our website and web app we also use Google Analytics cookies, and in our mobile apps an analytics identifier, to understand how Pitwhiz is used.
You can manage or block cookies through your browser settings, and you can stop Google Analytics collecting data in your browser by installing the Google Analytics opt-out browser add-on. To opt out of analytics in our mobile apps, contact support@pitwhiz.com.
All data sent between your browser or our apps and our servers is encrypted in transit. Passwords are stored as secure hashes, never in readable form.
We may update this policy from time to time. We will notify you of material changes by email or via the platform. Continued use of Pitwhiz after changes take effect constitutes acceptance of the updated policy.
If you are unhappy with how we handle your personal data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
